This simple free to use portal has much of our venue data pre loaded ready for you to input just a few details in order to receive a personalised event carbon footprint report, which you are able to share with colleagues and attendee’s as well as use as a benchmark to try and reduce your carbon footprint at events in the future.
Why should I give it a go?
It should take no more than 10 minutes. It’s a small act but collectively it can have a huge impact. The real question is why wouldn’t you bother
What do I need to do?
If you’ve used the tool before just login using the link above. If this is your first time using the portal you can create an account by registering also from the link above.
When registering for the first time you can request to join your organisation if it is already using the portal. If not you can create a new organisation quickly and easily.
Build your event step-by-step:
Find your venue
Once you’ve logged in or registered you need to create your event. The first step is to select your venue. Once you’ve found your venue just click ‘Create Event’
Add your event details
Provide some basic information about your event. You can fill in the community impact box if that’s really important to you but it’s not essential. Don’t worry too much about the comparison items.
Add your event rooms
Choose the rooms you are using at the venue for your event and add the total number of hours you will be using the room for.
Update your carbon factors
Carbon factors are things associated with your event that will add to your carbon footprint. Work through the sections and update where applicable for your event. If not applicable you can move on to the next carbon factor. To help we’ve added some top tips below:
> Accommodation
Choose ‘Accommodation Room’ and enter the total number of room nights enjoyed by you and your guests directly because of your event. Then click ‘Add factor’. No accommodation needed for your event? Move on to the next factor.
> Energy
You can skip this factor. That’s for more detailed reports we create ourselves.
> Beverage
The estimated total number of items/servings consumed by your group during your event. Select all the items you had at your event. Then click ‘Add factor’. No catering at your event? Move on to the next factor.
> Food
The estimated total number of items/servings consumed by your group during your event. Select all the items you had at your event. Then click ‘Add factor’. No catering at your event? Move on to the next factor.
> Waste
You can skip this part. That’s for more detailed reports we create ourselves.
> Food Waste
The estimated total number of servings of food that were not consumed by your group.
> Materials
Select all of the applicable additional materials you used for your event. These are items you brought with you, not items we provided to you. Add the number of units of these items you brought with you. Then click ‘Add factor’. No additional materials at your event? Move on to the next factor.
> Travel
Select all the modes of travel you and your guests used to get to and from the venue and add up the total number of guests using each mode of transport. Then click ‘Add factor’. All guests need to get to the venue somehow, so this is a required field!
> Water
Select ‘per delegate per day’ and add the number of delegates attending your event
> Other
Add in any ‘other’ items from the drop down list and the number of units of this item you used.
Once you’ve finished
When you have completed all fields and are happy it is as accurate as possible head to the top of the page and choose the ‘Report’ tab.
Here you can see your event carbon footprint report, which is updated in real time every time you make a change to your carbon factors. When you are happy with it you can download the report as a PDF and share it with others.
What do I do now?
This tool is meant to help as a guide to the likely carbon footprint of your event. It may shock you or you may be surprised by the results.
